Associate Communications and Corporate Events Professional

Job Description:

Saab, Inc., a leading defense and security company, is currently seeking an Associate Communications and Corporate Events Professional to join our DC team. This position will support corporate events and tradeshows by executing logistics, coordinating administrative processes and managing attendee relations. As assigned, the Associate Communications and Corporate Events Professional will also assist with the execution of smaller company events.

This position will also oversee the visitor experience for Saab, Inc. which includes designing and implementing the visitor experience that reflects our brand.

This position will report directly to the Manager, Communications.  The position is located in Saab’s Washington, DC Navy Yard office with two days/week work from home option when practical. 

Key Responsibilities:

Events

  • Coordinates logistical arrangements for assigned internal and external events and meetings including site selection, rate and meeting room negotiation, vendor selection, room set-up, food and beverage catering requirements, Audio Visual vendors, and invoice reconciliation.

  • Manages contracts, budgets, reviews/codes invoices, ensuring billing is accurate at the completion of each meeting.

  • Manage communication with all attendees on important details related to their participation.

  • Manage timeline of necessary attendee communications pre-and post-event.

  • Assist with onsite logistics for key events.

  • Manage shipping supplies and necessary materials to and from all events.

  • Assist with coordination of printing event materials (e.g. signage).

  • Various coordination and administrative tasks to support Events Team as needed.

  • Assists the Internal Communications lead with maintaining a calendar of events for all Saab, Inc. locations. Leads engagement committee for smaller office locations.

  • Support assigned corporate events in adherence with established policies and processes to meet customer expectations.

  • Practice fiscal responsibility.

  • Identify and implement improvement opportunities.

Communications

  • SaabNet- Manage/update media library with recordings and photos from employee events.

  • Create and format new corporate email templates including simple graphics.

  • Proofread and recommend changes to draft employee messages.

  • Take and upload photos and organize photo library.

Visitor Experience

  • Create a unique and exceptional Saab, Inc. guest experience.

  • Implement and improve a visitor experience that reflects the Saab, Inc. brand.

  • Assess and fulfill the needs of the onsite business team and guests.

  • Prepare or coordinate preparation for offices to ensure office readiness for guests.

  • Support team administration (i.e., office supply inventory management, event/meeting materials printing, etc.)

  • Maintain strict confidentiality of information gained while supporting meetings and visitors.

Compensation Range: $60,100-$72,100

The compensation range provided is a general guideline. When extending an offer, Saab, Inc. considers factors including (but not limited to) the role and associated responsibilities, location, and market and business considerations, as well as the candidate's work experience, key skills, and education/training.

Skills and Experience:

  • Bachelor’s degree required. Marketing, and/or Communications is preferred.

  • Experience in event planning or related marketing/communications field is desired, but not required.

  • Proven project management, organizational skills, and attention to detail.

  • Fast learner with an entrepreneurial spirit that works well under pressure.

  • Ability to prioritize and manage multiple responsibilities with shifting priorities and timelines.

  • Excellent written and verbal communication skills.

  • Passion for providing an exceptional customer experience.

  • Ability to work both independently and in a team-oriented, collaborative environment.

  • Proficiency in Microsoft Office Suite.

  • Ability to travel to key events domestically approximately once/month if needed.

Citizenship Requirements:

Must be a U.S. citizen. Applicants selected may be subject to a government security investigation and must meet eligibility requirements for access to classified information.
